Why reception seating matters more than you think
Visitors judge a business within a few minutes of walking in, and most of those minutes are spent waiting. In a Gurgaon corporate office, a Noida coworking space, a South Delhi dental clinic or a car showroom on the highway, the reception sofa is where a client sits with nothing to do but look around. A grey ring on the armrest, a dark patch on the seat or a stale smell sends a message about how the business is run, even if the rest of the office is spotless.
The same applies to places that are not offices in the usual sense: hotel and guest-house lobbies, salon waiting areas, school and coaching-centre reception areas, and the clubhouse lounges in large housing societies. In all of them, the seating is shared, heavily used and rarely cleaned beyond a quick dusting by housekeeping.
There is a hygiene side to this too. Commercial seating is used by many different people every day, many of whom come in from Delhi's dust and traffic. In clinics and diagnostic centres, waiting-area sofas are used by people who are unwell. Fabric holds dust, skin flakes, sweat and whatever falls off clothes, and regular vacuuming by housekeeping removes the surface layer but not what has worked into the weave and the foam.
Housing societies have their own version of this problem. The clubhouse lounge, the RWA office and the waiting area near the main gate are used by residents, visitors, delivery staff and security teams through the day, and nobody owns the furniture in the way a family owns its living-room sofa. Spills get left, the seating fades unevenly near windows, and complaints reach the RWA only when the smell becomes obvious. A planned cleaning schedule, approved once in the annual maintenance budget, is far easier to manage than a last-minute scramble before the society's Diwali function or annual general meeting.
How heavy use changes the cleaning plan
A home sofa in a family of four might see a few hours of use a day. A three-seater in a busy reception can be occupied for eight to ten hours, by a different person every half hour. That changes how the fabric wears and how fast it gets dirty. The areas that show it first are predictable: the front edge of the seat cushion, where people perch while waiting; the armrests, where hands and elbows rest; and the top of the backrest, where hair oil and the backs of heads leave a darker band.
For homes we generally suggest cleaning every 6 to 12 months, as explained in our guide on how often to clean a sofa. For commercial seating, the interval should be shorter, and a practical guide is:
- High footfall (clinics, diagnostic centres, showrooms, busy coworking lounges, hotel lobbies): every 3 months.
- Moderate footfall (corporate reception areas, society clubhouses, salons): every 4 to 6 months.
- Low footfall (cabin sofas in a director's office, meeting-room lounge seating): every 6 months, with spot cleaning when needed.
Delhi's winter smog season and the humid monsoon months are both hard on upholstery, so many businesses time one of their cleanings just before Diwali and another after the monsoon. If your lobby seating has a musty smell after the rains, our guide on sofa mould and musty smell in the monsoon explains the cause.

Fabric shampoo, leather conditioning, or a full deep clean with stain and odour treatment. Per-seat pricing from ₹349.
Scheduling outside business hours
The last thing a business wants is a cleaning machine running in reception while clients walk in. Because a fabric sofa is touch-dry in about 4 to 6 hours and fully dry by the next morning, the best time to clean commercial seating is after closing or on a weekend, so it is ready for use when the doors open again. Leather and rexine seating, which is common in clinics and showrooms because it is easy to wipe, is cleaned and conditioned without soaking and has almost no drying time.
We schedule commercial jobs in a few common ways:
- Evening slots for offices that close by 6 or 7 pm, so seating dries overnight with the air-conditioning or fans running.
- Sunday or holiday slots for clinics, salons and coworking spaces that work six days a week.
- Section-by-section cleaning for hotel lobbies and society clubhouses that cannot close, cleaning one seating cluster at a time while the rest remains usable.
Building access is the part most businesses forget. Many Gurgaon and Noida commercial towers need advance gate passes for vendors, have fixed service-lift timings and restrict work after a certain hour. Tell us the building's rules when you book, and arrange the pass in the crew's names a day in advance.
Bulk quotes through a free assessment
Per-seat pricing works well for homes, but an office or society usually has a mix of furniture: a large L-shape in reception, a few two-seaters in cabins, leather seating in the director's room, dozens of upholstered chairs in conference rooms and a set of ottomans in the breakout area. Prices vary by fabric, size, condition and how much needs to be done in one visit. For office, society and bulk jobs, KaamGenie does a free assessment, then gives a written quote that lists every item.
As a reference, our starting prices before 18% GST are ₹349 per seat for fabric shampoo and wet-vacuum extraction, ₹499 per seat for the deep clean with stain and odour treatment, and ₹599 per seat for leather or rexine cleaning and conditioning. Fabric protection, a stain-repellent coat that helps busy seating resist spills, is an add-on from ₹99 per seat and is worth considering for light-coloured lobby sofas. Upholstered chairs and ottomans are priced separately. Our sofa cleaning cost calculator gives a quick estimate for a single sofa, and the assessment covers everything else.
There is no annual contract or lock-in. Each cleaning is a one-time job, and you call us when the next one is due. Many offices simply set a calendar reminder for three or six months ahead.
What to ask any commercial cleaning vendor
Whether you hire us or someone else, a facility manager or office admin should ask a few basic questions before letting any crew into the premises:
- A GST invoice. Businesses usually need a proper tax invoice to book the expense and, where eligible, claim input tax credit. KaamGenie issues GST invoices with our GSTIN; share your company name, address and GSTIN at the time of booking.
- A written quote. It should list every item, the method for each (shampoo, deep clean, leather conditioning, low-moisture dry clean for delicate fabric) and the total with GST. We confirm the quote before the visit and do not change it on arrival.
- Crew identity. Ask for the names and ID details of the crew in advance, especially for buildings with security desks and for clinics where patient privacy matters.
- Insurance or liability cover. Ask the vendor what happens if something is damaged, and get the answer in writing. Do not assume it is covered.
- Method and chemicals. Ask whether the products are safe once dry, which matters in clinics, schools and anywhere children visit, and whether the crew patch-tests before cleaning.
- Payment terms. We accept bank transfer, UPI, card and cash, which suits most company accounts processes.
What a commercial visit looks like
The process is the same careful one we use at homes, scaled up. The crew inspects each piece and patch-tests a hidden spot, then dry vacuums seams, gaps and under cushions, where reception sofas collect a surprising amount of dust, pen caps and coins. Stains are pre-treated by type, the fabric is foam-shampooed and agitated, and a wet vacuum extracts the dirty water. Finally the crew spot-treats anything that remains, grooms the pile and leaves the seating to air-dry. The crew brings its own machine, chemicals and wet vacuum and protects the floor while working, which matters on polished marble or wooden lobby floors.
Before leaving, the crew walks the site with your admin or facility contact. If any section is not satisfactory, it is re-done on the spot. Old set-in stains may only lighten rather than disappear, and we will tell you that at the assessment rather than after the job. Frequently asked questions
How often should office reception sofas be professionally cleaned?
For high-footfall areas such as clinics, showrooms and busy coworking lounges, every 3 months is a good interval. Corporate reception areas and society clubhouses usually need cleaning every 4 to 6 months. Low-use cabin sofas can go 6 months with spot cleaning in between, depending on fabric colour and use.
Can you clean office sofas after working hours or on weekends?
Yes. Most commercial jobs are scheduled in the evening, on Sundays or on holidays, so the seating dries overnight and is ready by opening time. A fabric sofa is touch-dry in about 4 to 6 hours. Tell us your building's vendor rules and lift timings when booking so access is arranged in advance.
Does KaamGenie provide a GST invoice for office sofa cleaning?
Yes. KaamGenie issues GST invoices with our GSTIN for business customers. Share your company name, billing address and GSTIN at the time of booking so the invoice is prepared correctly. Our listed prices are before 18% GST, and the written quote shows the GST amount separately.
How much does commercial sofa cleaning cost in Gurgaon or Noida?
Starting prices are Rs 349 per seat for fabric shampoo, Rs 499 per seat for deep cleaning with stain and odour treatment, and Rs 599 per seat for leather, all before 18% GST. Offices, societies and bulk jobs get a free assessment and a written quote covering every item, including chairs and ottomans.
Can you clean leather sofas in a clinic waiting area?
Yes. Leather and rexine seating, common in clinics and showrooms, is cleaned and conditioned without soaking, so there is almost no drying time. Regular conditioning also helps prevent the cracking that heavily used leather seating develops, especially near the front edge of the seat and the armrests.
Is a free assessment really needed for an office sofa cleaning job?
For a single sofa, a phone quote is usually enough. Offices and societies typically have mixed furniture, such as fabric sofas, leather seating, conference chairs and ottomans, in different conditions. A free assessment lets us see everything and give one accurate written quote, so the price is not changed on the day.
Do you also clean office chairs and conference room seating?
Yes, upholstered chairs, conference chairs, ottomans and headboards can be cleaned on the same visit as the sofas. They are priced separately from the per-seat sofa rate. List every item during the assessment so the written quote covers the full job and the crew brings enough time and equipment.
Is sofa cleaning in a clinic or school safe for visitors afterwards?
Our cleaning products are safe for children and pets once the fabric is dry. In clinics, schools and other sensitive spaces, schedule cleaning after hours so the seating dries fully before anyone uses it. Ask any vendor what chemicals they use and whether they patch-test first.
Can a hotel lobby or clubhouse be cleaned without closing it?
Yes. For lobbies and society clubhouses that cannot close, we clean one seating cluster at a time while the rest stays usable, and place cleaned pieces out of the way to dry. Leather pieces can be used almost immediately. Early morning or late evening slots work best for these spaces.
Do businesses need an annual contract for regular sofa cleaning?
No. KaamGenie does one-time cleaning with no annual contract or lock-in. Each visit is quoted and paid separately, and you call when the next cleaning is due. Many offices simply set a calendar reminder for three or six months after each visit to keep the schedule regular.
